Venue or Band First? The Booking Order That Works
Most couples book the venue first, and for good reason: the venue fixes the date, and the date is the first thing a band needs. But the band should come right after, not at the end of the list.
Here is why, and how to ask the right questions on your venue tours so the band fits the room.

Questions to Ask Every Venue About a Band
- Where does the band set up, and how much floor space is there? A 4 to 6 piece band needs about 12 by 16 feet.
- Are there 2 to 3 dedicated 20-amp circuits near that spot?
- Is there a sound limit, a volume rule or a music cutoff time?
- When can the band load in? Bands arrive 1.5 to 2 hours before they play.
- For an outdoor space, is there a covered area for the band, and what is the rain plan?
- Does the venue require a certificate of insurance from vendors?
- Is there a private area for equipment, or a room for the band during breaks?
When the Band Can Come First
If you have your heart set on one band, ask about their availability on your candidate dates before you sign with a venue. It is the same request, made in the other order.
Avalon has performed at most major venues in the Houston area, so it can often tell you how a band has set up in a room you are considering.
Frequently Asked Questions
Should we book the venue or the band first?
Usually the venue, because it fixes the date. Contact the band right after, since popular bands book out quickly in Houston. If one band matters most to you, check their dates before signing with a venue.
Does the band need a stage?
No. A formal stage is not required. A flat, level area works, with 2 to 3 dedicated 20-amp electrical circuits.
Will Avalon coordinate with our venue?
Yes. Avalon coordinates load-in times, setup, sound checks and performance schedules with your venue and planner, so you have a single point of contact.
